From Beauty Exhibition Lead to Pilot Order: A 14-Day Follow-Up Plan for Distributors
Turn beauty exhibition conversations into qualified OEM pilot orders with a 14-day follow-up plan covering scoring, samples, pricing, documents and decisions.

Beauty exhibitions create many conversations but only a small number are ready for an OEM project. The first fourteen days after contact should convert a badge scan or WhatsApp exchange into a defined buyer brief, sample decision or qualified pause.
The Short Answer
Do not send the full catalogue to every lead. Score the buyer, send three to five relevant options and agree on one next action. A lead without a product, quantity, market and deadline is not yet a project.
Day 0: Capture the Buying Context
Record:
- Company and country
- Buyer type
- Sales channels
- Current product range
- Target launch market
- Product interest
- Estimated quantity
- Timing
- Decision maker
- Import or registration status
Add one sentence explaining why the lead may fit. This is more useful than a pile of business cards.
Days 1–2: Send a Focused Recap
The first follow-up should reference the actual conversation. Include no more than three to five product directions.
A distributor may receive:
- One professional salon product
- One retail repeat-purchase product
- One demonstration-friendly product
- One skincare or body-care extension where relevant
The goal is to get a correction: Which product is closest, which should be removed and what quantity is realistic?
Days 3–5: Qualify the Project
Confirm the Market
Ask where the product will be registered and sold. Iraq, UAE, Saudi Arabia and other GCC markets can require different labels, claims and responsible-party arrangements.
Confirm the Channel
A salon distributor, pharmacy-style beauty retailer, Amazon operator and supermarket buyer need different sizes, materials and margin structures.
Confirm the Quantity
Separate a low-risk pilot from a professional launch. Selected stable formulas using in-stock bottles may support a small test, while salon sizes, custom formulas and special packaging may require higher quantities.
Days 5–7: Build the Sample Plan
Each sample should have a decision question. Examples:
- Is the bond treatment rich enough for the target hair?
- Does the hard-water shampoo rinse clean at the expected usage level?
- Is the ectoin serum texture suitable for hot-climate retail?
- Does the body lotion absorb quickly enough for the target customer?
Product references:
Days 7–10: Quote the Real Configuration
The quotation should identify formula route, fill size, package, decoration, carton, quantity, unit price basis, sample or development fee, production timing and shipping term.
Do not compare two quotations until the configurations are equal. A stock bottle with a pressure-sensitive label is not the same project as a custom mold, silk-screen printing and carton.
Days 10–14: Create a Decision Deadline
Ask for one of four outcomes:
- Approve samples
- Revise the brief
- Move to quotation
- Pause until a defined date
This keeps the discussion professional without chasing indefinitely.
Score Leads by Evidence
A-Level
Clear company, active channel, specific products, realistic quantity, decision maker and timeline.
B-Level
Good market fit but incomplete quantity, formula or packaging information.
C-Level
General interest, no company detail, no product focus or unrealistic requirements.
Spend the most follow-up time on A-level leads. Give B-level leads a structured question list. Keep C-level leads in a lighter education sequence.
Use Exhibition Dates Carefully
Baghdad Beauty Connection is scheduled for September 16–20, 2026. Beautyworld Dubai is scheduled for October 6–8, 2026. Beauty Iraq is scheduled for October 28–31, 2026.
Use the current sourcing window in outreach, but do not claim participation unless the company is officially exhibiting.
Official sources:
MOQ and Project Route
MOQ starts from 100 pcs per SKU for selected stable formulas using in-stock bottles. Custom formulas, colors, fragrances, and packaging are quoted based on project requirements.
The quotation becomes reliable only after the formula, package, artwork, documents, quantity and delivery route are defined.
Buyer FAQ
Should every exhibition lead receive samples?
No. Sample priority should follow buyer fit, product clarity, quantity and decision process.
How many products should be included in the first proposal?
Usually three to five focused options are easier to evaluate than a full catalogue.
When should exclusivity be discussed?
After market, channel, targets, order plan and performance expectations are clear. Do not offer broad exclusivity from a first conversation.
What if the buyer stops replying?
Send a concise close-the-loop message with the last agreed product, missing decision and a clear date for follow-up or pause.
Start a Qualified OEM/ODM Discussion
Send the company, country, channel, selected products, estimated quantity and target launch date.
